Job Title: Administrative Assistant, Chamber Diversity Councils and One-Stop Operator, Workforce Board Lehigh Valley Classification: Exempt Position Supervisor's Title: Executive Vice President, Diversity Councils
General Description This position is directly accountable to the Executive Vice President and the Director of the Diversity Councils team. They will support and assist the African American Business Leaders Council, Hispanic Chamber, LGBTQ Business Council, Women’s Business Council, and Young Professionals Council.Additionally, under contract with the Workforce Board Lehigh Valley (WBLV).This individual will function as the One-Stop Operator assisting the WBLV Executive Director in coordination of services and programs with community-based organizations, career technical schools and higher education facilities. This position will spend 50% of their time with the Chamber and 50% of their time with the WBLV. Job Duties & Responsibilities:
Serves as staff support to the Chamber’s Diversity Councils.
Marketing – create and proof event e-mail blasts and website content.
Meeting assistance – support and run committee meetings for various councils including meeting preparation, agendas, minutes and other documents.
Event management – plan and execute events for all councils including morning, evening, and weekend events.
Sponsorship relations management
$5,000 minimum sales expectation (event sponsorships, marketing and advertising products)
General office duties
Represents the Chamber to various organizations and during community and professional functions, such as mixers and major Chamber events.
Database administration – ensuring that committee and board listings are accurate and kept up to date; upkeep of member lists; event registrations; upkeep of e-mail contact lists.
Other duties as assigned by the supervisor.
Associates degree or equivalent work experience
Fluency in Spanish and English a plus

ONE-STOP OPERATOR RESPONSIBILITIES: Within ninety (90) days of execution of this Agreement One-Stop Operator shall provide the Executive Director of the WBLV with a written project plan for accomplishing the tasks identified below. The project plan shall include:
A schedule including timetable for accomplishing each of the tasks/activities described in the Scope of Work:
One-Stop Operator (OSO) is notified of new task
OSO acknowledges the task
Action is taken within 24 hours of receiving task. OSO will contact either/or both the Workforce Board Lehigh Valley Executive Director and CareerLink Lehigh Valley Administrator
Resolution within one week of receiving task
2. A list of all constraints the project must address: 1. Maintaining contact with partners 2. Every partner has their own agenda. It is the OSO’s job to bring partners together and meld ideas together
3. A list of all assumptions related to the project: 1. Assumptions include Partners offering a free flow of information and will be transparent. Partners will contact OSO immediately when a problem or concern arises. Partner, OSO and either/or both the Workforce Board Lehigh Valley Executive Director and CareerLink Lehigh Valley Administrator will work together to solve problems
4. Identification of one-stop staff support needed to accomplish the deliverables: 1. OSO support staff includes CareerLink Lehigh Valley Administrator, CareerLink Lehigh Valley Operations Director, and Workforce Board Lehigh Valley Contract/Compliance Specialist
5. A description of how project quality will be ensured: 1. OSO will have quarterly meetings with the CareerLink Lehigh Valley Administrator before Partner meetings and maintain weekly communication with both the Workforce Board Lehigh Valley Executive Director and CareerLink Lehigh Valley Administrator
In year one (1) of this contract, OSO shall familiarize themselves with the program and performance requirements including the baseline performance levels for each of the core one-stop partners listed below:

During subsequent renewal periods OSO shall familiarize themselves with each of the one-stop legislative partners’ performance requirements as determined by the WBLV Executive Director.
OSO shall develop operational policies for coordination between the Title I Services Provider and the one-stop core partners to include:
a. The outreach, cross referral, dual enrollment and sharing of participant records as appropriate to each program and participants.
b. Placement activities, including job fairs, recruitments and employability skills workshops.
c. Such other areas identified for coordination by OSO and agreed to by the core partners.

Deployment of One-Stop Initiatives OSO shall be provided a workspace in the WBLV Comprehensive One- Stop Center located at 555 Union Boulevard, Allentown, PA 18109.OSO shall be provided the equipment necessary to perform the tasks identified in the Scope of Work.
